  • Changes to the approval process



    New regulation to enhance your security comes into force this year. You might hear it called Strong Customer Authentication, or SCA. It means the way you approve payments and actions in Commercial Banking Online will change.

    We’ll send you an email to let you know when the changes will come into effect for your business.

    You will have to use the Sign+ button to approve any action or payment in Commercial Banking Online instead of Respond.

  • What does this mean for me?

    1. You will need to use the Sign+ button instead of the Respond button when approving:
    • Payments.
    • Administration actions, eg Roles, Panels and Workflows.
    • Beneficiary Library actions.
    • Payment template actions.
    1. When you use the new Sign+ approval process, you’ll have to go through
      additional steps if you want to pay a beneficiary who is:
    • Not in your Beneficiary Library – we call this an untrusted beneficiary.
    • Recently added and approved into your library.

    If you have more than one approver for a payment, only the first approver will have to follow the additional steps. Please see our approval table below for more details.

    Remember these tips to stay safe from fraud

    Never give a card reader code to someone who calls you. We’ll never ask you for your Sign+ or Identify code.

    Always check any request from a supplier or colleague is genuine. Talk to them in person, or contact them in person on a phone number you know is theirs.

    Get ready for the changes now

    Add payments you make to the beneficiary library now, to avoid having to go through the additional steps each time you make a payment.

    To add a new beneficiary to the Beneficiary Library follow these steps.

    You can also use our import files to quickly add all your beneficiaries into Commercial Banking Online in one go.

    Important

    You must approve a beneficiary before it can be used. When you use it for the first time you'll have to follow the additional approval steps for each payment type.

    If you add and approve all your beneficiaries to the library, you won't have to go through the additional steps each time.

    Beneficiaries are only trusted once a payment has been made to them and the payment has a bank confirmed status.

    Check you have the latest version of card reader with a Sign+ button. If it does not have a Sign+ button call the helpdesk to order a new card reader on 0808 202 1390 (+44 1264 839 415 from a mobile or outside the UK), 7:30am – 6:00pm, Monday to Friday excluding Bank Holidays.

    How to approve most payments and administrative actions


    1. You will be asked to press the Sign+ button on your card reader.
    2. Enter your PIN and press ok on your card reader.
    3. Enter the Challenge code into your card reader and press OK.

    How to approve a single payment to an untrusted or newly approved beneficiary

    1. You'll be asked to press the Sign+ button on your card reader.

      Step 1
       

    2. Enter your PIN and press OK on your card reader.
    3. Enter the Challenge code into your card reader and press OK.
    4. Enter the last 4 digits of the beneficiary's account number that is displayed on the approval screen into your card reader and click OK.

    5. Enter the total amount, including pence, of the payment that is displayed on the approval screen into your card reader then click OK.

    6. Select Next.
    7. Enter the Response code from your reader then select Confirm.
     

    How to approve multiple payments to an untrusted or newly approved beneficiary


    1. You will be asked to press the Sign+ button on your card reader.
    2. Enter your PIN and press OK on your card reader
    3. Enter the Challenge code into your card reader and press OK

    4. Enter into your card reader the total number of payments you want to approve as shown on the approval screen then click OK.

    5. Enter into your card reader the total value, including pence, of the payments as shown on the approval screen and press OK.

    7. Enter the Response code from your reader then select Confirm.
     

    How to approve single payments to an account with 3 or fewer numeric characters


    1. You will be asked to press the Sign+ button on your card reader.
    2. Enter your PIN and press OK on your card reader
    3. Enter the Challenge code into your card reader and press OK

    4. Enter into your card reader the total value, including pence, of the payments as shown on the approval screen and press OK.

    FAQs

    What’s the definition of a trusted beneficiary?

    The definition is:

    • The beneficiary is in the Beneficiary Library
    • The beneficiary has been approved
    • A payment has been sent to that beneficiary and that payment went to Bank Confirmed status

     

    If I want to approve an imported payment, what approval method will I follow?

    All imported payments will follow the Approve multi payments approval steps, you will be asked for the additional information of number of payments and the total combined amount of payments.

    I have a beneficiary in the library with multiple payment types (eg BACS and Faster Payments), if I have only made Faster Payments to the beneficiary, will the beneficiary be trusted for BACS payments automatically?

    No. The beneficiary is only trusted for Faster Payments, the beneficiary will not be trusted for BACS payments until you have made a BACS payment to the beneficiary which has gone to Bank Confirmed.

    If I create a free form payment and enter the details of a beneficiary who is in the library but not selected from the library using the lookup tool [image of the magnifying glass], will this be a trusted beneficiary?

    No. For the beneficiary to be considered trusted you need to select the beneficiary from the Beneficiary Library.

    If I create a free form payment and use a trusted beneficiary from the Beneficiary Library but then change the sort code or account number, will this be a payment to a trusted beneficiary?

    No. The beneficiary details have been updated and therefore are no longer trusted, you will be asked to follow the additional payment approval steps. If you change just the beneficiary name or beneficiary reference then you will not be asked to follow the additional steps.
