Make or approve decisions on multiple items

  • Make Decisions on Multiple Items

    You are able to view 50 items per screen – this is the maximum number of items you can make a decision on, or approve, at the same time.

     

    1. Select which items you want to pay/approve.
      • Click on the white box in the heading row to automatically populate all the boxes below it, and make decisions on all items.
      • OR
      • You can select specific boxes if you want to action a smaller volume.
       
    2. Upon selecting one or more item checkboxes, the multiple selection toolbar will be shown. This will enable the same decision to be applied to multiple items.

    Making decisions on multiple items

    1. ‘Download Selected Items’ – select this button to open a PDF file to view images of all selected items.
    2. ‘Pay Selected Items’ – select this button to pay all selected items. Please note: This button will be enabled subject to the following:
      • A status of ‘Pay Decision’ or ‘Kappa Decision’.
      • You are entitled to make decisions for all selected types (based on your user profile).
      • Once you have selected 'Pay Selected Items', there is no way to reverse your choice. However, as long as you have ‘four eyes’ enabled - when the approver comes to approve/reject they can reverse this back to its original status.
       
    3. ‘Select no Pay Reason’ – choose your reason for return from the dropdown list if you don’t wish to pay the selected items. This list will be available subject to the following:
      • A status of 'Pay decision' or 'Kappa Decision‘.
      • You are entitled to make decisions for all selected types (based on your user profile).
      • Where the return reason dropdown list has a valid return reason selected, the 'Unpay Selected Items' button (see 5.1) will be enabled subject to the other criteria continuing to be met. Select this if you are sure you don’t wish to pay those items.
      • Once you have selected 'Unpay Selected Items', there is no way to reverse your choice. However, as long as you have ‘four eyes’ enabled - when the approver comes to approve/reject they can reverse this back to its original status.
       

    Approving decisions on multiple items

    Approving – follow steps 1 to 3 above.

    Next Step. Once multiple items awaiting approval have been selected the 'Approve Selected' and 'Reject Selected' buttons will be enabled on the screen. These will be available, subject to the following:

    • A status of 'Awaiting Approval'
    • You are entitled to make decisions for all selected types (based on your user profile)
    • You were not the decisioner for any of the selected items

    NB. If items that do not meet all the appropriate criteria are selected, the buttons will be disabled – you are not able to apply the outcome only to a subset of the selected items.

    Select 'Approve' or 'Reject' to action all of these items. Once you selected either button, there is no way to reverse your choice.
