Activate account

  • Before you can start using Commercial Banking Online, you will need to activate your user account.

    How you activate your account will depend on whether you are a Primary Administrator or another type of user.

    For Primary Administrators

    To activate your Commercial Banking Online user account follow these steps:

    1. Make sure you have the welcome and activation communications we sent you.
    2. Click on the Primary Administrators - activate account button below.
    3. Enter your email address, client ID and activation code.
    4. Create your username and password.
    5. Create your Telephony PIN.
    6. Call us on 0808 202 1390 (+44 1264 839 415 from a mobile or outside the UK), 7:30am – 6:00pm, Monday to Friday excluding Bank Holidays, and select option 1 to activate your Commercial Banking Online account. Please have your Client Id and new Telephony PIN ready when you call so we can verify your identity. Once confirmed, we will complete your account activation.
    7. Once the Help Desk has confirmed your online user account has been activated you can log into Commercial Banking Online.

    Primary Administrators - activate account

     

    For all other users

    To activate your Commercial Banking Online user account follow these steps:

    1. Make sure you have your:
      • security device and security PIN
      • activation communication we sent you with the activation code
      • username your Administrator created for you.
       
    2. Click on the All other users - activate account button below.
    3. Enter your username and in the password field enter your activation code
    4. Create your password.
    5. Create your Telephony PIN.
    6. Your Administrator will contact you to confirm you have completed these activation steps yourself. Once confirmed, they will complete your user account activation so you can log in to Commercial Banking Online.

Primary Administrators (panels)

  • For Primary Administrators with panels payment approval

    Before you can set up Commercial Banking Online you will need to activate your account. For more detailed instructions on how to activate your account, visit our user information section on Support Centre.

    When you were registered for Commercial Banking Online you will have been set up with either the panels payment approval method or the votes payment approval method.  Follow the steps below if you were set up with the panels payment approval method.

    Step 1: Prepare

     

    Before you start setting up Commercial Banking Online for your organisation you need to consider:

    • The people in your organisation who will be able to use Commercial Banking Online
    • The set of actions they will be able to take in Commercial Banking Online. These could include:
      • Creating payments
      • Approving payments
      • Viewing balances
      • Viewing reports
       
    • The level of payments approval they have. They may be able to:
      • Approve payments up to a certain payment limit (e.g. up to £50,000) or of a certain type (e.g. BACS)
      • Approve payments individually or, more generally, in conjunction with other approvers

    When you have decided how you want to set up your organisation, login to personalise your settings and add users. You will need your username, password, security card, reader and PIN to login to Commercial Banking Online.     Step 2: Set up panels

    To set up panels so that you can create and approve payments follow the steps below:

    1              Rename your approver types

    2              Create panel profiles

    3              Assign payment types and methods to your panel profiles

    Once you have created your panels you can move onto the steps below for creating and editing Roles and creating new users. 

    Step 3: Set up Roles

    Roles determine what your users can see and do in Commercial Banking Online. You need to create Roles before you can assign them to your additional users to give them rights and privileges in Commercial Banking Online. To find out more about Roles, visit our page what are Roles? or visit the Roles section in Support Centre to watch videos about how Roles work and how to create them.

    To understand how you can configure Roles to suit your needs, visit our page on data permissions and entitlements.

    We have created some pre-defined Roles to help you get started. These are called ALLPYMT, STATEMNT or VIEWONLY, CREATOR, APPROVER, AUDIT and ADMIN.

    To create Roles you can:

    Roles must be approved before they can be assigned to users. 

    Step 4: Create new users and assign Roles

    As an Administrator you can give people in your organisation access to Commercial Banking Online by creating users. As part of this, you will assign Roles and approver types to users.

    Once you have created a new user they will need to wait for their security card, reader and PIN and activation code. They will need all four items before they can activate their account. To activate their account they will need to follow the instructions in the Activate Account section of the Support Centre.     When the user has activated their account, you will need to activate the user to allow them to log into and begin using Commercial Banking Online.

    At this stage, you may also wish to assign additional roles to yourself. As a primary administrator, you will have automatically been assigned the Primary Administrator Role and may also have been assigned the Audit Role if you requested this. However, you will have no payment related data permissions and entitlements. If you wish to be able to complete other actions in Commercial Banking Online, edit your own user details and assign the relevant roles to yourself.

     

    Step 5: Personalise your view

    You can customise what you see in Commercial Banking Online in a variety of ways.

    Now you have completed your initial set up, you should be ready to use Commercial Banking Online. Visit Using Commercial Banking Online for an overview of common actions.

Primary Administrators (votes)

  • For Primary Administrators with votes payment approval

    You will be able to allocate a certain number of votes to a role as part of editing the payment approval settings. Find out more about allocating your votes by visiting our page on votes payment approval options.

    Step 3: Create new users and assign Roles

Using Commercial Banking Online

  • For all Commercial Banking Online users

    Before you can start using Commercial Banking Online you will need to activate your account. For more detailed instructions on how to activate your account, visit our User information section on Support Centre.

    When you have activated your account, login to Commercial Banking Online. You will need your username, password, security card, reader and PIN. For more detailed instructions on how to login to Commercial Banking Online, visit the Logging in and out section on Support Centre.

    You can also take a tour for an overview of how you can use Commercial Banking Online. We also recommend that you explore the security section for tips on how to protect yourself and your organisation from common scams.

    When you were set up with Commercial Banking Online, your Primary Administrator will have assigned one or more Roles to you. The actions you can take will depend on the Roles that have been assigned to you. Talk to your Primary Administrator to find out what Roles you have been assigned and therefore what you have permission to do in Commercial Banking Online.

     

    Personalise your view

    You can customise what you see in Commercial Banking Online in a variety of ways.

    Amend your details

    You can take certain actions on your own account. These include:

    • Viewing your details
    • Editing your details
    • Changing your password or Telephony PIN
    • Requesting a reset to your password or Telephony PIN. Please note that users will need to contact their Primary Administrator to reset their password or Telephony PIN. Primary Administrators should contact the Commercial Banking Online helpdesk to reset their password and contact another Primary Administrator or fill in a Credentials Reset form to reset their Telephony PIN
    • Reporting a lost or stolen card and requesting a replacement. Please note that users will need to contact their Primary Administrator to request a replacement card. Primary Administrators should contact another Primary Administrator or contact the Commercial Banking Online helpdesk

    There will be some details that you cannot edit and these will be greyed out.

    View your accounts

    If you have the appropriate role allocated to you, you can view summaries of your accounts in multiple different formats within Commercial Banking Online.

    Create and approve payments

    The payments that you can create and approve will depend on the Roles you have been assigned within Commercial Banking Online. Your permissions may be restricted to certain types of payments (e.g. BACS) or certain payment limits (e.g. £100,000).

    • You can create different types of payments depending on your payment and cash management Roles
    • You can approve payments if you have the appropriate permissions. Each payment will normally need at least two approvers, depending on how your organisation is set up on Commercial Banking Online

    View reports

    If you have the appropriate role allocated to you, you can create and view a number of different reports within Commercial Banking Online

    • Payment reports allow you to monitor your organisation’s payment activity
    • User reports are only available to Audit Roles and allow you to monitor how people in your organisation use Commercial Banking Online
    • Information reporting reports allow you to monitor your organisation’s account activity
    • Administration reports are only available to administrators and allow you to monitor the administrative activities relating to payments and cash management

    Manage users

    If you are a Primary Administrator or Administrator, you can take a number of different actions on users within Commercial Banking Online. Visit our user details summary on Support Centre for an overview of the actions you can take.
