    Users and administrators

    What happens if I miss the deadline?

    In accordance with the terms and conditions of your online banking service, contact details for all users and administrators should always be up to date so that we can contact you quickly.

    We will move user profiles over to Commercial Banking Online as described below. Please read this page carefully as you may want to make changes to your user profiles to affect which profiles automatically move over to Commercial Banking Online.

    What you need to do

    • Check your organisation will automatically be moved to Commercial Banking Online
    • Check your users and administrators are eligible to be moved to Commercial Banking Online
    • Decide who your primary contact will be
    • Be happy that profiles being merged are the right ones (Corporate Online only)

    When is the deadline?

    Four weeks before your moving date.

    What to be aware of

    Corporate Online

    For your organisation to be moved over to Commercial Banking Online it’s vital you have at least one administrator set-up and eligible to move.

    Exclamation mark

    For your security, and to help protect against fraud, we recommend you have a minimum of two administrators.

    A named primary contact will be required for Commercial Banking Online. This primary contact must be an active administrator.

    Token administrators

    Corporate Online token administrators will not be migrated to Commercial Banking Online.

    At least one active non-token administrator is required for your organisation to automatically move to Commercial Banking Online. If you only have a token administration i.e. an administrator whom uses a token security device to log in, you must upgrade this user to an administrator with full rights.

    All other users

    Any users, including administrators must have logged in over the last 13 months in order to be automatically moved to Commercial Banking Online. The last 13 months are dated from the weekend you move to Commercial Banking Online, for example if you move to Commercial Banking Online on Monday 1st December 2015, you must have logged in to Corporate Online after 1st November 2014.

    The following users will not be moved:

    • Deleted users
    • Users with duplicate email addresses – more details
    • Users who have not acknowledged Corporate Online’s terms and conditions i.e. have not completed their first log in
    • Any users, including administrators, who have not logged on in the last 13 months
    • Corporate Online token administrators.

    Duplicate profiles

    It’s possible to have more than one profile in Corporate Online with the same email address but this isn’t possible in Commercial Banking Online.

    Only one profile and one unique email addresses can be used per registration in Commercial Banking Online. The logic below will be followed to determine if a profile should be merged or not.

    • If an administrator and a user have the same email address and the same first and last name (ignoring numbers and special characters) the profiles will be deemed to be the same and therefore will be merged to create one profile. See diagram below.
    • If an administrator and a user have the same email address but different first and last name (ignoring numbers and special characters) the profiles will be deemed to be different and only the administrator will be moved over. See diagram below.

    If you have several profiles with the same email address and you’d like each of these profiles to be moved over to Commercial Banking Online, you must edit each profile so that there is a unique email address for each one. Ensure the email address is valid, regularly used for work and is not a group email address.

    To make sure a user is moved over to Commercial Banking Online ensure they have their own unique email address set-up in Corporate Online.

    If you have several profiles with the same email address, delete these profiles before you move.
