Create a BACS payment template

    1. Either select Payment templates > Create template or click Create template at the bottom of the Payment templates screen to display the Create template screen.



    2. If you want to create a payment based on an existing payment, select Create from existing > Individual payment and enter the name of the Bacs payment you want to use in the box on the right or click to search for and select the payment you want.

      If you want to create a payment based on an existing template, select Create from existing > Template and enter the name of the Bacs template you want to use in the box on the right or click to search for and select the template you want.

      If you want to create a freeform payment select Bacs Payment from the drop down list in Payment type.
    3. Tick the Restrict box if you don’t want the template to be available to all users, just those with a specific role.  Once a restricted template is approved it must be assigned to an appropriate role by an Administrator before it can be used to create payments.
    4. Enter a name for the template up to 8 characters long.
    5. Enter a description for the template up to 35 characters long, with spaces.
    6. Click Continue to enter the template details.
    7. In the Debit account information section enter the following information:

      • Account number – Enter the sort code and account number of the account you want to make the payment from or click to search for and select the account.
      • Debit account reference (optional) – Enter a reference to identify this payment in your statement.
      • Account name – The name of the registered account. This field will be pre-populated once you select the account number.
      • Friendly name – The name of the account used to identify it in Commercial Banking Online. This field will be pre-populated when the account number is selected
       
    8. In the Beneficiary information section enter the following information:

      For a single beneficiary

      In the Beneficiary reference section:
      • Amount – Enter the amount to credit to your beneficiary, you can leave this blank if you do not want to send the same amount each time you use this template.
      • Currency code – This display the currency in which the payment is made, it will be pre-populated with GBP.
      • Hold – If you want to hold (temporarily stop) a payment for a specific beneficiary, you should reduce the payment field to £0.00 and ensure the Hold box is ticked. This will ensure that no payments are released till the hold button is un-ticked. When you want to commence payments, input the value and remove the tick from the Hold box.

      In the Beneficiary Details section:
      • Beneficiary name – Enter the name of the beneficiary or click to search for and select a beneficiary from the Beneficiary Library.
      • Sort code - Enter the sort code of the beneficiary’s bank or click to search for and select the beneficiary’s bank sort code. This information will have been automatically added if you have chosen a beneficiary from the Beneficiary Library.
      • Account number – Enter the beneficiary’s account number. This information will have been automatically added if you have chosen a beneficiary from the Beneficiary Library.
      • Bank ID – This will be automatically completed when you enter the sort code.
      • Beneficiary reference – Enter the reference that will appear in the beneficiary’s statement

      For your security, please check the beneficiary account details for each payment, even if you are using an existing payment or template.


      If you have access to the Beneficiary Library, you can save the details of any new beneficiaries you add to the payment or save changes you’ve made to existing beneficiaries using the Beneficiary Library section. Any changes to a beneficiary record or new entries to the Beneficiary Library will need to be approved before you can submit the payment.
      • Do not update beneficiary record – Select this option so that existing beneficiary details are not updated, or that new beneficiary details are not added to the Beneficiary Library. This is the default option.
      • Add beneficiary record – Select this option to add the beneficiary details as a new record in the Beneficiary Library. After selecting click Update Beneficiary Library.
      • Update beneficiary record – Select this option to save any changes to an existing beneficiary record in the Beneficiary Library. After selecting click Update Beneficiary Library.

      For your security, we recommend that any changes to the beneficiary record is required to have a separate approval by another user.

      For multiple beneficiaries



      There are two ways to credit multiple beneficiaries in the one transaction:
      • Single entry view: Add a beneficiary’s details one at a time in the same manner as you would for a Single beneficiary, by clicking Add Another Beneficiary. You can look though the beneficiaries you have added by clicking View Next Beneficiary and View Previous Beneficiary.
      • Multiple entry view: Click Multiple Entry View and add beneficiaries directly into the grid. Click Beneficiary Name Lookup to select the beneficiary from the Beneficiary Library. To return to single entry click Single Entry View on the far right of the grid.
      • Hold – If you want to hold (temporarily stop) a payment for a specific beneficiary, you should reduce the payment field to £0.00 and ensure the Hold box is ticked. For example, if you have created a multiple Bacs payment for 10 beneficiaries, but you want to hold/stop the payment on 3 of the beneficiaries, you should reduce the payment field to £0.00 on these people and ensure you tick the Hold box for them. When you want to commence payments, input the value and remove the tick from the Hold box.
      For your security, we recommend that you check the beneficiary details are correct before submitting the payment.

      If you ready to submit the template for approval, click Submit. A message confirming the template has been submitted will be displayed.

      If you’re not ready to submit the template for approval and want to save it as a draft for now, click Save draft. A message confirming that the template has been saved will displayed.

      If you want to remove all the details you have entered and start the template again click Reset or click Cancel to return to the Payment template screen.
