Create a Non-urgent Euro payment template

    1. Either select Manage payments>Payment templates>Create template or click Create Template at the bottom of the Payment templates screen to display the Create template screen.


       
      If you want to create a template based on an existing payment, select Create From Existing > Individual Payments and enter the name of the Euro payment you want to use in the box on the right or clickSearch iconto search for and select the payment you want.

      If you want to create a template based on an existing template, select Create From Existing > Template and enter the name of the Euro payment template you want to use in the box on the right or clickSearch iconto search for and select the template you want.

      If you want to create a new template select Euro Payment from the Payment type dropdown. If you are creating this template from an existing payment or template this will already be populated.
       
    2. Select Non-Urgent payment.
      Non-Urgent Euro Payments will be sent through a SEPA Credit Transfer and the earliest available value date will be the next business day. Alternatively you can chose Urgent Euro payments which can have a same day value date. 
    3. Enter the following information in to the available fields:
      • From Account – Select  the sort code and account number of the account you want to make the payment from or click Search icon to search for and select the account.
      • Friendly Name – The name of the account used to identify it in Commercial Banking Online. This field will be pre-populated when the account number is selected.
      • Beneficiary Name – Enter the name of the beneficiary or click Search icon to search for and select to search for a beneficiary from the Beneficiary Library.
      • Beneficiary IBAN – Enter the beneficiary's IBAN, this field will be automatically populated if you select a beneficiary from the Bneficiary Library.

      Exclamation mark

      For your security, please check the beneficiary account details for each payment, even if you are using an existing payment or template.

    4. Select the Restrict Use Of This Template box if you don't want the template to be available to all users, just those with a specific role. Once a restricted template is approved it must be assigned to an appropriate role by an Administrator before it can be used to create payments
    5. Enter a name for the template up to 8 charachters long.
    6. Enter a description for the template up to 35 characters long, including spaces.
    7. Click Continue to enter the template details.
    8. Using the information from the previous page most of the payment information will have automatically populated in the payment details. If any of the information is wrong select Reset and re-enter your payment details.
    9. Debit Account information will be displayed, if required you can enter a Debit Account Reference to indentify this payment on your statement
    10. In the Beneficiary Information section the screen is split in to four parts, the two boxes on the left contain informatin about the beneficiary and the two boxes on the right contain information about the beneficiary's bank. If required you can amend the Beneficiary name and the Beneficiary address.

      Euro

      If you have access to the Beneficiary Library, you can save the details of any new beneficiaries you add to the payment or save changes you’ve made to existing beneficiaries using the Beneficiary Library section. Any changes to a beneficiary record or new entries to the Beneficiary Library will need to be approved before you can submit the payment.
      • Do not update beneficiary record – Select this option so that existing beneficiary details are not updated, or new beneficiary details are not added to the Beneficiary Library. This is the default option.
      • Add Beneficiary Record – Select this option to add the beneficiary details as a new record in the Beneficiary Library. After selecting click Update Beneficiary Library.
      • Update Beneficiary Record – Select this option to save any changes to an existing beneficiary record in the Beneficiary Library. After selecting click Update Beneficiary Library.

      Exclamation mark

      For your security, we recommend that any changes to the beneficiary record are required to have a separate approval by another user.

    11. The layout of the Payment details section will depend on whether the Debit and Credit accounts are in the same currency:

      If Debit and Credit accounts are the same currency:

      Currency same for template screen

      • Credit amount – enter the amount you want to transfer from the debit account to the credit account.
      • Currency code – the currency of the account, this will automatically populate with currency of your accounts.
      • Charges – Charges for Euro payments can only be set to SHA where the charges will be split between you and the Beneficiary.

      If Debit and Credit accounts are different currencies:

      Please note Credit is the current available option.
      • Credit amount – enter the amount you want to transfer in the currency of the credit account. This will be indicated in the corresponding Currency code box.
      • Currency code – the currency of the account, this will automatically populate with currency of your accounts.
      • Charges – Charges for Euro payments can only be set to SHA where the charges will be split between you and the Beneficiary.
       
    12. The Additional Information section allows you to add more details to help identify the payment and the creditor.

      Instructions

      Instructions
      The instructions section allows you to enter a Beneficiary Reference for the payment.

      You can choose whether the Beneficiary Reference should be:
      • Unstructured – This allows you to enter the Beneficiary reference in up to four lines of Beneficiary Reference.
      • Structured - This allows you to enter an Issuer and a Reference up to 35 characters long.

      Originator

      Originator

      In the Originator section you can add more details about the organisation that is making the payment by selecting an ID Type and filling in the relevant fields:

      ID Type    
      BIC   Enter the BIC code for the originator in the ID field.
      Freeform   Select if you want to enter in your own values to identify the originator.

      If you choose Freeform you must enter an ID number. You can also give more information about the type of identification you have provided in Proprietary and the Issuer.
      ARNU   Select if you want to use an Alien Registration number to identify the originator. If you choose this option you must enter the ID number. You can also provide the issuing authority in Issuer.
      CCPT   Select if you want to use a Passport number to identify the originator.

      If you choose this option you must enter the ID number. You can also provide the issuing authority in Issuer.
      CUST   Select if you want to use a Customer Identification number to identify the originator.

      If you choose this option you must enter the ID number. You can also provide the issuing authority in Issuer.
      DRLC   Select if you want to use a Drivers Licence number to identify the originator.

      If you choose this option you must enter the ID number. You can also provide the issuing authority in Issuer.
      EMPL   Select if you want to use an Employee Identification number to identify the originator.

      If you choose this option you must enter the ID number. You can also provide the issuing authority in Issuer.
      NIDN   Select if you want to use a National Identity number to identify the originator.

      If you choose this option you must enter the ID number. You can also provide the issuing authority in Issuer.
      SOSE   Select if you want to use a Social Security number to identify the originator.

      If you choose this option you must enter the ID number. You can also provide the issuing authority in Issuer.
      TXID   Select if you want to use a Tax Identification number to identify the originator.

      If you choose this option you must enter the ID number. You can also provide the issuing authority in Issuer.

      The name and address of the originator are automatically added to Originator section when you provide the Debit Account details above.

      Category of Purpose

      Category of purpose

      In the Category of Purpose section you can provide information about the high-level purpose of the payment. You can either supply a standard code or enter your own value
      • Type – Select Code or Proprietary from the drop down.
        • Code – If you chose Code you can select a category of purpose code from the dropdown.
        • Proprietary – If you chose Proprietary you can enter your own category of purpose as you’ve agreed it with the Beneficiary.
         

      Creditor

      Creditor

      The Creditor section allows you the option to add more information about the organisation or person that is receiving the payment. If you choose to add information about a creditor, select a Type and fill in the relevant fields.

      Type    
      BIC   Enter the BIC code for the creditor in the Identification field.
      Organisation Code   Select if the creditor is an organisation or company, and you want to use an organisation code to identify them.

      If you choose Organisation Code you must select a Code and enter Identification. You can also provide the name of the issuing authority in Issuer.
      Organisation Freeform   Select if the creditor is an organisation or company, and you want to enter in your own values to identify them.

      If you choose Organisation Freeform you must enter Identification. You can also give more information about the type of identification you have provided in Proprietary and the name of the Issuer.
      Private Code   Select if the creditor is a private individual, and you want to use a private code to identify them.

      If you choose Private Code you must select a Code from the drop down and enter the appropriate ID number in Identification. You can also provide the name of the issuing authority in Issuer.
      Private Freeform   Select if the creditor is a private individual, and you want to enter in your own values to identify them.

      If you choose Private Freeform you must enter Identification. You can also give more information about the type of identification you have provided in Proprietary and the name of the Issuer.
      Private Date and Place of Birth   Select if the creditor is a private individual and you want to identify them by their date and place of birth.

      If you select Private Date and Place of Birth you will have to complete the following fields
      • Date of Birth in the format DD/MM/YYYY
      • City of Birth
      • Country of Birth
      You can also include details about the County of Birth.

      You can also select a code for the underlying purpose of the creditor payment from the dropdown in Purpose.

      Ultimate Creditor

      If the creditor isn’t the end destination of the payment you can use the Ultimate creditor section to add details about the final recipient.

      The fields that you should complete will depend on Type you select:

      Type    
      BIC   Enter the BIC code for the ultimate creditor in the Identification field.
      Organisation Code   Select if the ultimate creditor is an organisation or company, and you want to use an organisation code to identify them.

      If you choose Organisation Code you must select a Code and enter Identification. You should also provide the name of the issuing authority in Issuer.
      Organisation Freeform   Select if the ultimate creditor is an organisation or company, and you want to enter in your own values to identify them.

      If you choose Organisation Freeform you must enter Identification. You can also give more information about the type of identification you have provided in Proprietary and the name of the Issuer.
      Private Code   Select if the ultimate creditor is a private individual, and you want to use a private code to identify them.

      If you choose Private Code you must select a Code from the drop down and enter the appropriate ID number in Identification. You should also provide the name of the issuing authority in Issuer.
      Private Freeform   Select if the ultimate creditor is a private individual, and you want to enter in your own values to identify them.

      If you choose Private Freeform you must enter Identification. You can also give more information about the type of identification you have provided in Proprietary and the name of the Issuer.
      Private Date and Place of Birth   Select if the ultimate creditor is a private individual and you want to identify them by their date and place of birth.

      If you select Private Date and Place of Birth you will have to complete the following fields
      • Date of Birth in the format DD/MM/YYYY
      • City of Birth
      • Country of Birth
      You can also include details about the County of Birth.

      For your security, we recommend that you check the beneficiary details are correct before submitting the payment.

    13. When you are ready to submit the template for approval. click submit. A message confirming the template has been submitted will be displayed.

      If you are not ready to submit the template for approval and want to save it as a draft for now, click Save. A message confirming that the tempae has been saved will be displayed.

      If you want to remove all the details you have entered and start the template again click Reset or click Cancel to return to the Payment Template screen.
