What are the votes payment approval options?

  • For a payment to be approved a minimum of six votes is required. Votes are set up within Roles, and the maximum number of votes a Role can have depends upon how your organisation is set-up.

    If your organisation selected Single approver on the Registration form then the maximum number of votes a single Role can have is six and a single user (with an appropriate Role) could approve a payment.You do not have to allocate a Role the maximum number of votes: you can allocate any number of votes, from one to six.

    For your security, and to help protect against fraud, we recommend that a maximum of five votes is assigned to any Role so that at least two approvers are required for all payments.

    You do not have to allocate a Role the maximum number of votes: you can allocate any number of votes, from one to five.


    A Role does not need to have the same voting entitlement for all payment types, for example you can set up the Role so that it has a greater voting entitlement for approving a Bacs payment than it does when approving a CHAPS payment. You can also set a limit on the amount that a Role can approve in the Roles Maintenance screen.

    A combination of smaller votes can also approve payments, for example a combination of three users with two votes each can approve a payment.

    You cannot fix the order in which the approvals happen.
