I want to edit a user

  • If you have an Administrative Role, you can edit users if their details or the actions they need to take in Commercial Banking Online change. 

    If the user’s payments and cash management entitlements in Commercial Banking Online need to change, you should first ensure you create the payments and cash management Roles they need, before editing the user and assigning them those Roles. 

    Only a Primary Administrator can edit an Administrator. If a Primary Administrator’s details need to change, they can’t be edited in Commercial Banking Online – we need to edit these details on your behalf. Please complete a Commercial Banking Online amendment form, available from your Client Management representative.

     

    Select the user to edit

    Users are displayed in rows in the Users section of your Administration home page (select Administration at the top of Commercial Banking Online if the page is not already displayed).

    If you can’t see the user you want to edit, you can perform a search to find their details.

    Once you’ve found the user, click Actions in the user’s row and select Edit user. The User details screen is displayed so you can edit the user’s details. You can only edit a user if they have Active status.

    If your organisation has dual administration and there’s a workflow item pending for the user, a message is displayed to tell you that you cannot change the user’s details until the workflow item has been resolved. Click OK to close the message.

    Edit the user's details

    The user’s current details are displayed on the User details screen.

    1. If the user’s name has changed recently, edit their title, first and last name as required. Their username can’t be updated.
    2. If the user has changed their email address, enter and confirm the user’s new email address.
      Any email from Commercial Banking Online to the user will be sent to the user’s new email address, once they have verified it. Ensure the email address is valid, regularly used for business and isn't a personal or group email address.
    3. If the user’s job title has changed recently, enter their new job title.
    4. If the user’s contact phone number has recently changed, enter the new number we can call them on if we need to get in touch.
      If you are entering an international number, make sure you include the country and area codes.
    5. If the user’s business address has recently changed, enter their new address.
      All mail from Commercial Banking Online to the user will be sent to this address. Ensure the address is valid and that any mail sent there will be safely received by the user.
    6. If your organisation has set up administrative groups as part of the Commercial Banking Online service, a Primary Administrator will be able to see the administrative group the user belongs to, but will not be able to change it.
    7. When you’ve made all the necessary changes, click Next to edit the user roles, if applicable. Alternatively, if you’ve made all the changes you want, click Save changes to check the user changes you’ve made.

    Edit the user's Roles including payments and cash management Roles

    Those user roles already assigned to the user are listed under Assigned user roles on the Assign user roles screen.

    If you want to unassign a user role, untick the Assign box in the role’s row. 

    If you want to assign additional user roles, tick the Assign box next to the roles required under Assign user roles. You must assign at least one role to the user.

    • Administrator: Tick this box if you want the user to act as an Administrator. Administrators can create and manage users in Commercial Banking Online as well as manage who can approve payments . Only Primary Administrators can assign the Administrator user role.
    • Audit: Tick this box if you want the user to be able to run audit reports on your organisation’s Commercial Banking Online service. Only a Primary Administrator can assign the Audit user role.
    • Payments and cash management: Tick this box if you want to assign payments and cash management roles to the user.

    If you don’t need to edit the payments and cash management Roles assigned to the user, click Next to edit the user’s landing pages. Alternatively, if you’ve made all the changes you want, click Save changes to check the user changes you’ve made.

    If the user’s payments and cash management entitlements in Commercial Banking Online need to change, you should first ensure you have created the payments and cash management Roles they need, before editing the user and assigning them those Roles. 

    Any payments and cash management Roles already assigned to the user are listed under Assigned payment and cash management roles on the Assign user roles screen.

     Assigned payment roles

    1. If you want to unassign a payments and cash management Role, untick the box in the Role’s row.
    2. If you want to assign additional payments and cash management Roles to the user, tick Payments and cash management. This will create a list of all the approved payment and cash management Roles that have been created in the user’s administrative group. You can also search for the Roles you want by entering the Role’s name or description.

      Search

      If you’re unsure of their exact name or description, try a wildcard search.
    3. Once you’ve entered all your search terms, click Search. Everything that matches the search terms you entered is displayed. Any Roles already assigned to the user will not be displayed.
      If nothing matches the search terms you entered or you can’t see what you want in the search results, click Search again to try another search.
      Try entering fewer search terms to get more search results.
    4. You can view details of the Role by clicking on View role details. This will display the payments and cash management entitlements and the list of accounts that match the payments and cash management entitlements selected for this Role. If you can't view a Role's details it may be because you don't have the appropriate entitlements.
    5. Repeat steps 2 to 5 to select all the additional payments and cash management Roles the user needs.
    6. If you’ve selected a Role which allows the user to approve payments and your organisation has panel approval set up for your Commercial Banking Online service, select the approver type you want the user to have.
    7. Select whether you want the user to be able to import payments and view any payments that have been imported by others.

    Once you have assigned the user all the payments and cash management Roles they need, click Next to edit the user’s landing pages. Alternatively, if you’ve made all the changes required for the user, click Save changes to check the user changes you’ve made.

    Assign Homepage

    1. On the Assign Homepage screen, click against which homepage you want the user to have as their default whenever they log in to Commercial Banking Online.
      You’ll only see listed those homepages that the user is entitled to access, based on the roles you assigned to them on the Assign user roles screen. If the roles you assigned to the user do not have any homepages associated with them, the user will be assigned an Exceptions Homepage page which cannot be de-selected.
    2. Select the radio button beside the option you wish the user to have as their homepage.
      The page marked ‘Home’ will be the user’s homepage and displayed by default whenever they log in to Commercial Banking Online. The user can change this view if required.

    Once you’ve assigned the user their landing pages, click Next to check the user’s details.

    Check the user's details

    Check the user’s details to ensure you’ve entered everything correctly. If you want to change something, click Edit in a section to go back and make the additional changes you want on the appropriate screen.

    When you’re ready, click Save changes to authenticate and confirm the user’s details.

    Confirm the user's details

    Once you’ve authenticated the changes, a message is displayed, confirming the changes you’ve made have been saved.

    If your organisation has single administration, the changes will take effect immediately. If your organisation has dual administration, a workflow item will be created for the changes and another Administrator will need to review and approve the changes before they take effect in Commercial Banking Online.

    The user will be notified that their details have changed.

    If you want to return to your Administration page, click Return to your Administration home page.
