I want to create a user

  • If you have an Administrative Role, you can create new users for Commercial Banking Online.

    If a user needs specific payments and cash management entitlements in Commercial Banking Online, you should create the payments and cash management Roles before creating the user and assigning the Roles. 

    If the user is a payment approver and your organisation uses votes approval, you should create a Role with the appropriate number of votes for the kinds of payment that the user will need to approve . 

    If the user needs to be a payment approver and your organisation has panel approval, you should create a Role with the appropriate payment approval entitlements for the kinds of payment that the user will need to approve, as well as ensuring your organisation’s panel profiles have been set up for the approver type you will assign to the user when you create them.

    Only a Primary Administrator can create an Administrator. If your organisation needs a new Primary Administrator, you can’t create them in Commercial Banking Online yourself – we need to set them up on your behalf. Please complete a Commercial Banking Online amendment form, available from your Client Management representative.

     

    Enter the user's details

     

    1. On your Administration page (select Administration at the top of Commercial Banking Online if the page is not already displayed), click Create user to display the User details screen.
    2. Enter the user’s title, first and last name.
      This should be the name the user prefers to be known by or the name they commonly use in your organisation. This will help to identify them if more than one user has the same or a similar name.
    3. Enter a username for the user to identify them whenever they log in to Commercial Banking Online. The username should be unique and cannot be updated once it has been assigned. It will always be displayed in uppercase.
      If you enter a username that’s already in use, Commercial Banking Online will show you possible alternatives.
    4. Enter the user’s email address.
      All emails from Commercial Banking Online to the user will be sent to this email address. Ensure the address is valid, unique, regularly used for work and is not a group email address.
    5. Enter the current job title the user holds in your organisation.
    6. Enter a phone number we can call the user on if we need to get in touch with them.
      If you are entering an international number, make sure you include the country and area codes.
    7. Enter the user’s business address.
      All mail from Commercial Banking Online to the user will be sent to this address. Ensure the address is valid and that any mail sent there will be safely received by the user.
    8. Select whether the user can access Commercial Banking Online immediately (as soon as their user account has been fully approved) or on a specified future date, such as the day they start working for your organisation. Select a future date by clicking Calendar icon and selecting the date required.
    9. When you’re ready, click Next to assign the user Roles.

    Assign user Roles including payments and cash management Roles

    On the Assign user Roles screen, select which of the following user Roles you want to assign to the user. You must assign at least one Role to the user.

    • Administrator: Tick this box if you want the user to act as an Administrator. Administrators can create and manage users in Commercial Banking Online as well as manage who can approve payments . Only Primary Administrators can assign the Administrator user Role.
    • Audit: Tick this box if you want the user to be able to run audit reports on your organisation’s Commercial Banking Online service. Only a Primary Administrator can assign the Audit user Role.
    • Payments and cash management: Tick this box if you want to assign payments and cash management Roles to the user.

    If you don’t need to assign payments and cash management Roles to the user, click Next to assign landing pages to the user.

    If a user needs specific payments and cash management entitlements in Commercial Banking Online, you should first create the payments and cash management Roles they need, before creating the user and assigning them those Roles. 

    1. On the Assign user Roles screen, tick payments and cash management. This will display a list of all the approved payment and cash management Roles that have been created in the user’s administrative group. You can also search for the payments and cash management Roles you want to assign to the user by entering the Role’s name or description.

      Search
      If you’re unsure of their exact name or description, try a wildcard search.
    2. Once you’ve entered all your search terms, click Search. All the Roles that match the search terms you entered are displayed. Any Roles already assigned to the user will not be displayed.
      If nothing matches the search terms you entered or you can’t see the Role you want in the search results, click Search again to try another search.
      Try entering fewer search terms to get more search results.
    3. You can view details of the Role by clicking on View Role details. This will display the payments and cash management entitlements and the list of accounts that match the payments and cash management entitlements selected for this role. In some cases there will not be any available details for the Role.
    4. Tick the payments and cash management Roles you want to assign to the user.
    5. Repeat steps 1 to 4 to select all the payments and cash management Roles the user needs to perform their duties in Commercial Banking Online.
    6. If you’ve selected a Role which allows the user to approve payments and your organisation has panel approval set up for your Commercial Banking Online service, select the approver type you want the user to have.
      Primary Administrators should rename the available default approver types to names that are more meaningful to your organisation and create panel profiles appropriate for your organisation before users are created in Commercial Banking Online.
    7. Select whether you want the user to be able to import payments.

    Once you have assigned the user all the payments and cash management Roles they need, click Next to assign landing pages to the user.

    Assign landing pages

    1. On the Assign landing pages screen, ensure the landing pages you want the user have available to them in Commercial Banking Online are ticked. Untick any pages you don’t want the user to have available to them as a landing page.
      You’ll only see listed those landing pages that the user is entitled to access, based on the roles you assigned to them on the Assign user roles screen. If the roles you assigned to the user do not have any landing pages associated with them, the user will be assigned an Exceptions landing page which cannot be de-selected.
      You must select at least one landing page for the user. To see a preview of a landing page, click Preview in the row showing the landing page’s details.
    2. Select the radio button beside the option you wish the user to have as their homepage.
      The landing page marked ‘Home’ will be the user’s homepage and displayed by default whenever they log in to Commercial Banking Online. The User can change this view if required.

    Once you’ve assigned the user their landing pages, click Next to check the user’s details.

    Check the user’s details

     

     Check the new user’s details to ensure you’ve entered everything correctly. If you want to change something, click Edit in a section to go back and make the additional changes you want on the appropriate screen.

     

     

    When you’re ready, click Create user to authenticate and confirm the new user.

    Confirm the user

    Once you’ve authenticated the new user, a message is displayed, confirming their details have been saved.

    If your organisation has single administration, the new user will be created immediately, ready for their start date. If your organisation has dual administration, a workflow item will be created for the new user and another Administrator will need to review and approve the details before the user is created in Commercial Banking Online. For your security, we recommend dual administration

    Once the user has been approved, they will be notified that they’ve been created as a user and told how to activate their new Commercial Banking Online user account. Make sure you tell the user their username so they can complete their activation. The user’s status will be Awaiting First Login until they’ve activated their account.

    If you want to create another new user, click Create a new user.

    To return to your homepage, click Return to your homepage.
