Payment Audit Role

  • When modifying the All Payments Role you should:

    • Ensure it meets the requirements of your organisation.
    • Control the accounts and templates the Role has access to by setting the Data Permissions in the Payments tab.



      If the Role should be able to access Bank Account(s) for Bacs/Faster Payment, Restricted Template Access or Bank Account(s) for all Payment Types – excluding Bacs/Faster Payment accounts or templates then select All next to the appropriate Data Permission.

      You can choose the accounts or template that the Role has access to by using Select which will open a new window.

      Select Data Permissions


      Tick the box next to the account or template you want to grant access to and click Select to move it to the Selected Accounts box. You can remove a selected account by ticking the box next to them and click Deselect.
    • If you wish to use restricted templates the box for this will be empty when you first set up Commercial Banking Online, you will only see templates here once they have been created and set as restricted
    • Control the Role’s entitlements to create and approve payments. Find out more about entitlements and Data Permissions.
      Click Arrow icon(1) next to Global Settings to expand the Global Settings section then click Arrow icon(1) Global Payment Beneficiary Settings: tick the box here if all beneficiary details must be stored in the beneficiary library before a payment can be made using them. If the box is left blank payments can be made by free typing in sort code and account number
    • Click  Global Payment Settings to display entitlements for the Role.





      • Set the Number of votes the payment receives when approved by the Role (this option will be greyed out with a number 1 in the box if your organisation uses panels).
      • Set the Instruction Limit that Role can appove in a single payment. Leave blank if there is no limit.
      • Set the Batch limit on the total amount that a Bacs payment can credit to multiple accounts. Leave blank if there is no limit.
      • Set the Daily Limit that a Role can approve in a day, this will be blank if there is no limit.
      • Set Approve Own to allow a Role to create and approve a payment. For your security, and to help protect against fraud, we recommend this is only enabled where you have two or more approvers for each payment.
      • Set Auto Approve to allow the Role to create and approve a payment as soon as it is submitted for approval. If you create multiple payments this option will require an approval code for each individual payment, rather than being able to batch approve.
      • All instruction and approval options selected under the Global Payments setting will feed through to each payment type and method in the Role.
      • Global Template Beneficiary Settings - tick the box if all beneficiary details must be stored in the beneficiary library before a template can be made to them. If the box is left blank templates can be made by free typing in sort code and account numbers.
      • Global Template Approval Settings – by selecting “Approve Own” a user can create and approve a template; “Auto Approve” means once the user creates and submits the template it is automatically approved. If left blank another user must approve the template.
       
    • Control the Role’s entitlements to Create, Modify, Approve, Unapprove, Delete and View individual payment types by setting the Role’s entitlements in the Payments tab.
      1. Click Arrow icon(1) next to Payments to display the payment types available in Commercial Banking Online.
      2. Click the payment type you want to set the entitlements for. This will open up further options for Freeform, Template and Payment Import.
      3. Click on one of these options to open the entitlements. Here you will be able to specify if a Role is able to View, Create, Modify, Approve, Unapprove or Delete a payment.
       


    • Control the Role’s entitlements to Create, Modify, Approve, Unapprove, Delete and View payment templates for individual payment types by setting the Role’s entitlements in the Payments tab.
      1. Click Arrow icon(1) next to  Template to display the payment types available in Commercial Banking Online.
      2. Click Arrow icon(1) next to the payment types you want to set the entitlements for.
      3. Tick the boxes next to the entitlements you want to grant access to.
       

    • Control the Role’s entitlements to Add, Modify, Delete and View payment template groups by setting the Role’s entitlements in the Payments tab. Click Arrow icon(1) next to Payment Template Groups to expand the Payment Template Groups section. Tick the boxes next to the entitlements you want to grant access to.




    • Control the payments reports the Role can create by setting the Role’s entitlements in the Payments tab. Click Arrow icon(1)  next to Reports to expand the Reports section then click Arrow icon(1) next to Administrative, Payments and Templates to display the full list of reports available. Tick the boxes next to the reports you want to grant access to.


    • Control the payments alerts the Role can create by setting the Role’s entitlements in the Payments tab. Click Arrow icon(1) next to Alerts to expand the Alerts section then tick the boxes next to the alerts you want to grant access to.
